How to Prepare Your Car for Long-Distance Auto Transport

How to Prepare Your Car for Long-Distance Auto Transport

Shipping a car across state lines can make a relocation, online vehicle purchase, or extended trip more convenient. Before the carrier arrives, taking a few preparation steps can help reduce delays, simplify vehicle inspections, and make the handover easier.

NextRoute Auto Transport encourages customers to understand the preparation process before arranging long-distance vehicle transportation.

1. Clean Your Vehicle Before Pickup

Wash your car before the scheduled pickup whenever possible. A clean exterior makes it easier to identify and document existing scratches, dents, paint damage, and other visible marks.

You do not need to make the vehicle look brand new. The goal is to ensure that its condition can be inspected accurately before transportation.

2. Remove Personal Belongings

Remove luggage, electronics, valuables, and other personal items from the passenger compartment and trunk. Transport carriers generally have restrictions on personal belongings, and personal items may not be covered by the carrier’s vehicle cargo insurance.

Check the vehicle carefully for loose objects, including items stored under seats or in door compartments. Confirm any exceptions directly with your transport provider before pickup.

3. Document Existing Vehicle Damage

Take clear photographs of your vehicle from multiple angles, including the front, rear, sides, wheels, and any areas with existing damage.

Keep the photos with your shipment records. At pickup, review the vehicle inspection report and make sure existing damage is recorded. Repeat the inspection when the vehicle arrives at its destination.

If you notice new damage, document it promptly and follow the carrier’s applicable reporting and claims procedures.

4. Check the Fuel Level

Unless your transport provider gives different instructions, keep the fuel level low but sufficient for the vehicle to be moved during loading and unloading. A small amount of fuel is typically enough for these operations.

Avoid filling the tank completely, since unnecessary fuel adds weight to the vehicle. Ask your provider for its specific fuel requirements before pickup.

5. Inspect the Battery, Tires, and Mechanical Condition

Make sure the battery is secure and the tires are adequately inflated. Check for fluid leaks and tell your transport provider about any mechanical issues.

If your vehicle does not start, has damaged tires, or cannot be driven safely, notify the provider before the pickup date. Special loading equipment or additional arrangements may be required.

6. Remove or Secure Accessories

Remove detachable roof racks, bike racks, toll tags, and other accessories when appropriate. Secure any remaining components that could loosen during transit.

If your vehicle has modifications, unusually low ground clearance, oversized tires, or other special features, mention them when requesting a quote. These details may affect carrier compatibility and loading arrangements.

7. Prepare Your Keys and Vehicle Documents

Provide the required keys and follow your transport provider’s instructions regarding registration or other documentation. Keep personal documents and valuables with you rather than inside the vehicle.

Make sure the pickup and delivery contacts know the agreed arrangements and can be reached if scheduling changes occur.

8. Confirm Pickup and Delivery Details

Before shipping day, confirm the pickup window, delivery address, contact numbers, and any access restrictions at either location.

Large transport trucks may not be able to enter narrow streets, low-clearance areas, or locations with parking restrictions. If direct access is not possible, the carrier may arrange a nearby safe meeting point.

Ask how updates will be provided and what to do if your schedule changes.

9. Inspect Your Car After Delivery

When the vehicle arrives, inspect it in good lighting and compare its condition with the photographs and original inspection report.

Check the exterior, wheels, and other accessible areas before signing the final delivery paperwork. If you identify a concern, document it and report it according to the carrier’s procedures.

Make Your Vehicle Shipping Experience Easier

Preparing your car in advance can help you avoid preventable complications and make pickup and delivery more organized. Cleaning the vehicle, removing personal items, documenting its condition, and communicating special requirements are all useful steps.
